Ensuring Effective Time Management in your Business

time managementWithin the last 10 years, the average employee’s working day has increased by two hours a day, with 75% of workers putting in more than 40 hours a week. At the same time, employees today have to process six times more information than what they had to process 20 years ago.

In addition, managers can lose up to 11 hours a week to meetings, three hours a week looking for things, and three hours each day to interruptions. 81% of managers also suffer from a feeling of stress/ overwhelm at least once a week. With this in mind, you can easily see that time management in the workplace needs to be implemented from the top down.

It is important to periodically review your company’s time management strategies, and pay particular attention to your management staff, as increased responsibilities often make it more difficult to effectively manage time. Pay attention to your own time management skills as well. You’re likely juggling more responsibilities than anyone else in your company, which can make it especially challenging to stay on top of your tasks. If you and your management staff can master time management, then you are better equipped to train your staff to do the same.

Remember that there is no such thing as organized clutter. Being able to find things when you need them can substantially increase productivity. All employees should be encouraged to maintain orderly work spaces, with everything in its proper place and appropriately labeled. Lead by example, and keep your own workspace well-organized.

Make sure job descriptions are accurate and used properly, and that work is distributed fairly in accordance with individual skill sets and pay rates. Employees are more effective when they know exactly what is expected of them, so it’s essential that you periodically evaluate actual and expected job responsibilities to ensure that they are aligned.

There are only so many hours in the work week, and to make the most of that limited time, you must take a detailed look at exactly how your time and your employees’ time is being spent. Start by identifying and eliminating time wasters. Write down long-term objectives and set realistic, time-sensitive goals to achieve them. Check progress regularly, giving greater focus to strategies that achieve the best results and reducing the energy expenditure on those that don’t.
